How to apply as a VIRS

Steps to apply

If you are eligible to apply as a VIRS student, we need to receive your completed application at least eight weeks prior to the planned start date for the research. Please take into account that the study permit and/or entry visa application processing times may vary (for details, please click here) and your VIRS application should be received well in advance for you to receive the Letter of Acceptance to apply for the study permit and/or entry visa.
If the start date of your research changes after the Letter of Acceptance is issued, you need to contact Go Global as soon as possible. Failure to do so may result in issues with proper insurance coverage.

  1. Download and save the UBC VIRS Application Form onto your computer. Start a VIRS application

  2. Complete the form and obtain all the required signatures.

  3. Scan and submit the completed form to Go Global office via email (go.global@ubc.ca)

  4. Complete and submit the online application using the link you will receive from Go Global. *This is a key step. When you get access to the UBC student system, when your fees are posted and when you receive your Letter of Acceptance will depend on when this step is completed.

  5. Create your Campus Wide Login (CWL) account using the student number you will receive after submitting the online application. *A Campus Wide Login (CWL) will allow you to access the Student Service Centre (SSC), where you will be able to check your course registration and make fee payments.

    1. You will get access to create an account about one week after you complete Step 4 "Complete + submit online application".

  6. Pay the VIRS program fee assessed to your Student Service Centre (SSC) account. Your fees will be posted to the account about one week after you complete Step 4 "Complete + submit online application".

  7. Apply for the appropriate immigration document (for example, study permit and/or Temporary Resident Visa (TRV), or Electronic Travel Authorization (eTA), if applicable) using the Letter of Acceptance you will receive after making the payment for the VIRS program fee. Check out "How to apply for an initial study permit as a VIRS", and see processing times for various immigration document applications on the Government of Canada website. Please note:

    1. Students engaged in research lasting six months or longer require a study permit

    2. Students engaged in research lasting less than six months are advised to apply for a study permit, but may complete their research under visitor status

You should receive your Letter of Acceptance about one week after you pay your fees on the SSC (Step 6).
