Standing Deferred and Supplemental exams

A Standing Deferred (SD) exam is an exam written at a later date, while a Supplemental (S) exam is an exam provided in addition to the usual exams for a course. Find more details on the Academic Calendar.

Connect with your academic advising office to learn how to apply for a deferred standing in the course. Once your faculty has approved your request for a deferred standing, you’ll need to apply to write your Standing Deferred and/or Supplemental exam(s) through Workday. A separate application is required for each exam.

Application and exam periods

2024/25 Winter session courses

  • Application period: May 1 to Jun 9, 2025
  • Exam period: Jul 21 to Aug 1, 2025

2025 Summer session courses

  • Application period: Sep 3 to Oct 6, 2025
  • Exam date: Nov 15, 2025

If you miss the application deadline

If you miss the deadline to apply for an SD exam, or if certain circumstances prevent you from writing the exam during the official SD exam period, contact Academic Advising for next steps. Departments and instructors are not obligated to make alternative arrangements for students.

Before you apply

If you’ve been granted a deferred standing for a missed final exam, you’ll normally be expected to apply to write the SD exam during the official deferred exam period unless otherwise indicated by your instructor, your home advising office, or the department offering the course. While some instructors may be able to offer you an earlier opportunity to take a deferred exam, they are under no obligation to do so.

Please immediately contact your instructor, your home advising office or the department offering the course, to find out if an earlier exam session will be offered and how to register for it or whether you should apply to write the exam through Enrolment Services.

Course exceptions

Some departments set alternate exam dates that are different from the official deferred exam. These exceptions are not handled by Enrolment Services, unless otherwise specified. If your course is listed below, please follow their specific instructions.

Students having a SD exam in ATSC 113 and 313 are expected to take the exam in the next term when the course is offered. For example, if you have a deferred exam from Winter Term 1, you will take your exam with the Winter Term 2 cohort. Any SD exams from Winter Term 2 should be taken with the Summer Term 1 cohort. Any SD exams from Summer Term 1 should be taken with the Winter Term 1 cohort.

Please contact the instructor to arrange for you to write the exam with next semester’s cohort.

The Biology Program expects students with a deferred standing to write their deferred exam in the next term the course is offered.  If the course is not offered in the next term, then students are required to apply to write their deferred exam with Enrolment Services in either the July or November SD exam period. 

SD exams for CHEM 121, 123, 233, and 235 should be written during the next formal final exam period in which the course is offered.  

For Winter Session Term 1 (September to December) courses, the Chemistry Department offers a special SD exam writing session in the first 2 weeks of January (Term 2). Otherwise, students write during the Winter Session SD Exam period hosted in July by Enrolment Services. An application is required. 

Chemistry SD exams for summer session courses must be written either in December with the Term 1 course, or during a special exam writing session in the first 2 weeks of January. 

The Chemistry Department does not participate in the Summer Session SD period hosted in November by Enrolment Services.

Students having a SD in CONS 127 are expected to take the exam in the next term when the course is offered. For example, if you have a deferred exam from Winter Term 1, you will take your exam with the Winter Term 2 cohort. Any SD exams from Winter Term 2 should be taken with the Summer Term 1 cohort. Any SD exams from Summer Term 1 should be taken with the Winter Term 1 cohort. 

Please contact the instructor of CONS 127 to arrange for you to write the exam with next semester’s cohort.

Once your Faculty’s academic advising office has approved an academic concession for CPSC 107 or 110, your SD exam should be written when the challenge exam is next offered, or during the next formal final exam period in which either course is offered.

The CPSC 107/110 course team will reach out to students at least 1 month before the exam sitting at which they are required to write their deferred exam to provide details such as the date, time, location, and instructions. 

Note that CPSC 107 and CPSC 110 students write equivalent final exams. 

Deferred exams must be written with the final exam of the subsequent offering of the course, if the final exam occurs before the deadline for completing the SD exam.  

For permission to write the exam and the exam date and location, contact the instructor or course coordinator for the appropriate course at least 1 month before the final exam period. 

If there is no course offered before the deadline for completing the SD exam, contact your own term’s course instructor or Scheduling Services at student.exams@ubc.ca to schedule an exam before the deadline. You may also be able to request an extension to your SD through your faculty’s advising office

DAP SD exams are scheduled with the final exam of a subsequent offering of the course. DAP students who have been approved for an SD exam should review the confirmation email received at the time of SD approval for further details on the scheduling of the given SD exam. Any questions related to the scheduling of this exam should be sent to the DAP office at askdap@sauder.ubc.ca.

Students with a deferred standing for a DSCI 100 course are expected to take the exam in the next term the course is offered. For example, if you have a deferred exam from a Winter Term 1 course and that course is also offered in Winter Term 2, you will take your exam with the Term 2 class. Any SD exams for Winter Term 2 courses should be taken with any summer section of the course that is offered. 

Please contact the instructor of the course in the term that you will be taking your SD exam to arrange to write the exam with that class and further information. 

For Winter Term 2 SD exams, you are expected to write them during the Summer Session if the course is offered. 

If you have an SD exam for a Winter Term 1 course that is not offered in either Winter Term 2 or the Summer Session, you may take the exam with the next Winter Term 1 cohort, or should that not be possible, please reach out to the course coordinator directly to make alternate arrangements.  

Students having a SD exam in EOSC 116, 118 or 326 are expected to take the exam in the next term when the course is offered. For example, if you have a deferred exam from Winter Term 1, you will take your exam with the Winter Term 2 cohort. Any SD exams from Winter Term 2 should be taken with the Summer Term 1 cohort. Any SD exams from Summer Term 1 should be taken with the Winter Term 1 cohort.

LAW Distance Learning Courses (Sections 99A, 99C, & 98A) SD/S exams will be scheduled by the Allard Online Learning Program. Please email distancelearning@allard.ubc.ca to confirm the date of your exam.  For all other law exams, students will be advised by the Director, Academic Services, Allard School of Law, about the date of their SD exams. Do not apply through the Student Services Centre (SSC) to write your Law SD exams.

For all Math SD exams, please email the Math Undergraduate Program Manager at ugrad-coord@math.ubc.ca for your next steps. Do not contact your instructor. 

The Math Department expects students with deferred standing to write the final exam of the subsequent offering of the course. This is usually at the end of the following term.  

If you have a deferred standing for a Winter Term 1 or 2 course that is offered in the following Summer Session, the Math Department will not offer an additional examination during the Summer SD exam period. 

The Math Department only participates in the SD exam period offered in July and not in the SD exam period offered in November. 

Once your Faculty’s academic advising office has approved an academic concession for PATH_V 375, your SD exam should be written during the next formal final exam period in which the course is offered. 

SD exams for Term 2 courses should be taken during the official SD exam period in July, hosted by Enrolment Services.

Students having a SD exam for a STAT course are expected to take the exam in the next term when the course is offered. For example, if you have a deferred exam from a Winter Term 1 course and that course is also offered in Winter Term 2, you will take your exam with the Term 2 cohort. Any SD exams for Term 2 courses should be taken with any summer section of the course that is offered. 

Please contact the instructor of the course in the term that you will be writing your SD exam. For example, if you will be writing your SD exam in 2024/25 Winter Term 2, contact the instructor who is instructing that course in that term to arrange for you to write the exam with that class. 

For Winter Term 2 SD exams, you’ll be expected to write them during the summer exam period, if the course is offered. 

If you have a SD exam for a Winter Term 1 course that is not offered in either Winter Term 2 or the Summer Session, you may take the exam with the next Winter Term 1 cohort, or should that not possible, during the official SD exam period in July hosted by Enrolment Services. 

Apply to write your exam

Your faculty must approve your request for a deferred standing before you can apply to write your SD exam.

Exams with the Centre for Accessibility

If you have registered for exam accommodations with the Centre for Accessibility, you must indicate that you would like to write your exam with the Centre when you apply for an Standing Deferred or Supplemental exam.

After you have applied in Workday for your SD or Supplemental Exam, Enrolment Services will work with the Centre for Accessibility to schedule your exam. Your exam date and time will be released in mid-June, and you will be notified by the Centre for Accessibility once the exam has been booked. If you are writing SD or Supplemental exams through the Centre for Accessibility, you do not need to apply using the Centre’s exam booking system. 

Once notified of your exam date, log in to the Centre for Accessibility Online Services Portal using your CWL to verify your exam schedule with the Centre.

Off-campus exams

If you plan to write a SD or Supplemental exam outside of the UBC Vancouver campus, you must submit an exam application by the deadline. You will have the option to request an off-campus exam when you apply.

Off-campus exams are only available for Winter Session courses during the July SD exam period. Off-campus exams are not available for Summer Session courses during the November SD exam period.

Off-campus exams for students with accommodations

If you are a student registered with the Centre for Accessibility and plan to write your SD exam at an off-campus partner location, you must apply for an off-campus exam, and send your Accommodation Letter to Enrolment Services at student.exams@ubc.ca

You can request your Accommodation Letter from the Centre for Accessibility Online Services Portal. You will need to login using your CWL. 

Viewing your exam schedule

You will be emailed your exam schedule at least three weeks before the start of the exam period.

Please review your exam schedule for exam clashes or hardships. In the case of an exam clash or hardship, email student.exams@ubc.ca at least 3 weeks before the exam period.
