Information for sponsored students

About sponsorship billing

Some UBC students have a portion of their UBC fees paid by a sponsor, such as an Indigenous community, employer, or government agency. This is called sponsorship billing.

To have an organization sponsor your studies at UBC, they must meet the required criteria and apply before the start of the term. Please notify the Sponsorship Billing Office immediately if there are changes to your sponsoring agency or the coverage amount.

Housing sponsorship

Enrolment Services does not coordinate sponsorship billing for UBC-managed residences. If your sponsor has indicated they can support you with your on-campus residence fees, please email the Vancouver Student Residence office at information@housing.ubc.ca or the Okanagan Student Residence office at information@housing.okanagan.ubc.ca.

Sponsorship invoicing

We will invoice your sponsor only for the tuition and fees they agree to pay, up to the coverage limit specified for the academic session or term they selected. Your sponsor(s) will receive an invoice after each term’s course change date, also known as the add/drop deadline. That way, an accurate invoice will be generated after you finalize your course schedule.

Invoice delivery times

  • Winter Session Term 1: late September
  • Winter Session Term 2: late January
  • Summer Session: mid-July

Books and supplies

If your sponsor has indicated coverage for books and supplies, the UBC Bookstore will generate the invoice for that amount. Bookstore sponsorship is not available for international sponsors. Email the Sponsorship Billing Office for any questions.

Your responsibilities as a sponsored student

Communication with your sponsor

As a sponsored student, you must contact your sponsor to negotiate the terms and length of your sponsorship agreement. UBC will not do this on your behalf.

Please also be mindful that you will be responsible for informing your sponsor(s) of any changes to your situation which may affect your level of sponsorship (e.g., awards) and any fees that your sponsor does not cover, such as, but not limited to, interest charges, late fees, U-Pass, and the AMS/GSS or SUO Health and Dental plan.

Pay other required fees

You will need to pay for charges and student fees not covered by your sponsor, such as your student health and dental coverage. You’re also responsible for paying any remaining balance by the tuition deadline.

Do not wait to pay your fees while waiting for your sponsorship to be confirmed. Any late payment charges you accumulate before your sponsorship contract is authorized will not be reversed. Sponsors typically do not cover late fees, unless the fees result from their own delayed submission, in which case they may agree to cover the penalties. If your sponsor doesn't pay the invoice by the deadline, or if there is an outstanding balance on the amount you are responsible for, your student account will be placed on financial hold. At that point, you won't be able to register for new courses, view grades, audit a course, or order transcripts. You’ll also be charged late payment fees to your account.

Please contact an Enrolment Services Advisor if you're unsure about the fees that you owe. Otherwise, you may have to pay late payment penalties.

Review your sponsorship contract

We strongly encourage you to review the terms and coverage limits set out by your sponsor. Starting Sep 1, 2024, you must request this information from your Enrolment Services Advisor, as it will not be available in the new system, Workday.

Academic information

If your sponsor requires your academic information, such as transcripts, you are responsible for providing it to them. Learn how to order a transcript.

Submit your student declaration

You must complete the Sponsor Student Declaration as soon as possible to confirm the sponsorship contract.

Granting third-party authorization

UBC complies with the British Columbia Freedom of Information and Protection of Privacy Act (the “FIPPA”). As a result, UBC requires your permission to release details about your financial account with your sponsor.

Add your sponsor(s) information to Workday

If you’ve added your sponsor(s) to the Student Service Centre (SSC), you must add this information again to your Workday Student account once it’s created.

  1. Log into Workday Student and click on the Personal icon on the top right of the screen. 
  2. Click on “Additional Data”, then “Personal”, then “View Profile”. 
  3. Complete the details on the “Third-Party Authorization Form” to authorize your sponsor to receive applicable information about you.
  4. Select “Yes” for the statement "I acknowledge that I have read, understand and agree to the Terms of Use and Agreement for Third Party Authorization.”
  5. Type your sponsor organization into the “Name of the person you are authorizing”.
  6. In the dropdown of options, select "Sponsorship Billing" in the “Person’s relationship to me".
  7. Select “Yes” to the statement, “I consent to the release of information pertaining to my financial assistance and award status, including but not limited to student loans, bursaries, scholarships and financial need. As related to this status, registration, grades, fees and enrolment status may also be released.” 
  8. Click "Save.”

By entering into a sponsorship agreement and setting up third-party authorization, you agree to allow UBC to share information from your student account directly with your sponsor. Information that can be shared with your sponsor includes, but is not limited to, your registered courses, program information, tuition and fee assessments, awards, bursaries or scholarships, grade information, and any other items related to your studies. 

Opting out of the AMS Health and Dental Plan

If you have extended health and dental coverage elsewhere, you can opt out of the UBC Vancouver AMS/GSS Health and Dental plan or the UBC Okanagan SUO Health and Dental plan. If you do not opt out before the deadline, you will be responsible for paying these fees by the deadline.

Awards

Domestic Indigenous students sponsored by their Indigenous community who receive a monetary award through UBC are eligible to keep their full award funding. The student is responsible for notifying their sponsor or education coordinator of any awards they may receive.

Sponsored graduate students are not eligible for the following UBC awards:

  • UBC International Tuition Award
  • UBC International Doctoral Fellowship
  • Four-Year Doctoral Tuition Award
  • Four-Year Fellowship Tuition Award 
  • Faculty of Science PhD Tuition Award 
  • Chemistry PhD Tuition Award 
  • Graduate Covid Program Delay Tuition Award 
  • Doctoral Recruitment Fellowship Tuition Award
