About transcript orders
If you’re a UBC Okanagan student, please read information specific to your campus.
If you are a current UBC student or alumnus, you can order an official transcript or download an unofficial transcript of your complete academic record at UBC. Transcripts are confidential and can only be released by request from a student or alumnus.
To order an official transcript or download an unofficial transcript, access the UBC Official Documents tool (ODMT) from within Workday. Alumni and former students who aren’t able to log into Workday can log into the UBC Official Documents tool directly. If you are logging into the UBC Official Documents tool for the first time, you may have to wait 3 hours for your information to sync before you can proceed with the order.
Review and follow the instructions to order your transcript in one of the available formats:
- Unofficial transcript, downloaded directly from the UBC Official Documents tool
- Official PDF transcript, sent through email
- Paper copy of your official transcript is available through:
- In-person pick-up on campus
- Courier delivery
Before you order
- You will need a Campus-wide Login (CWL) account to access Workday or the UBC Official Documents tool. If you cannot remember your login details, follow instructions online to troubleshoot your access.
- Check that your grades are up-to-date by downloading an unofficial transcript on the UBC Official Documents tool. Updates to your academic record can take up to 48 hours to appear on your transcript. The grades that appear on the unofficial transcript will appear on an official transcript.
- In addition to ensuring that your grades are up-to-date, please confirm your contact details and address under Personal Info in Workday.
- Current students can download a Confirmation of Enrolment Letter in Workday if needed.
Important information about transcript orders
- All transcript orders are non-refundable. Cancellations and changes are not permitted.
- The student or alumnus must order the transcript themselves.
- Order your official transcript 48 hours after your grades appear in your Workday account, since it takes time for the system to update changes on your official transcript. To verify your grades will appear on your official transcript, check your unofficial transcript first.
- Your degree will be conferred after the Senate meets, and it will appear on the official transcript on Thurs, May 21, 2026.
- Your transcript will not show your courses for the current academic session until the first day of classes. If you need your transcript to include your current academic session, you must order it on or after the first day of classes.
- UBC is not responsible for delayed or lost mail.
- Credit card payment cannot be accepted over email or the phone due to credit card security policies.
- Students on financial hold are not permitted to order transcripts. Please contact Enrolment Services about paying overdue fees.
Submitting additional forms
Forms that need to be enclosed with the transcript must be submitted with the transcript order. Right after you place your order, email the additional form(s), along with your name, order number, and student number to transcripts.students@ubc.ca.
Reference and application numbers
If you are ordering transcripts for an application, provide your reference or application number in the address field on your transcript order in the UBC Official Documents tool. Please note that the address field has a character limit of 57. For example, write “Institution Name, Reference/Application #1234”.
Students are responsible for reviewing the application details and transcript requirements of the respective institution’s or organization’s website. Students are also responsible for reordering and paying for another transcript if the original transcript method is not accepted.
World Education Services (WES)
UBC is a World Education Services (WES) institution partner and uses a closed, secure channel to directly transmit documents to WES.
If you are ordering transcripts for WES, write “World Education Services Ref#” and your WES reference number for the Institution/Name field. The official email for WES is submit@wes.org.
Once you’ve placed the order, please email transcripts.students@ubc.ca with your order ID and reference number, and your transcript will be uploaded to the WES student portal. Read the WES document requirements for more information.
Transcript processing and grade availability
- It takes at least 48 hours for official transcripts to be updated when changes are made to your Workday account. This includes the posting of grades, changes to grades, or course adjustments during or after the add/drop deadline.
- Undergraduate students can view their grades after the last day of exams.
- Term 2 grades will be visible starting Apr 28, 2026 after grades have been submitted by instructors.
- Summer grades will be visible on your official transcript 24-48 hours after they have been posted on your Workday profile.
PDF transcripts
Official PDF transcripts cost $11.60 CAD, including tax, and are sent through email. They can take 24 hours to process. Official PDF transcripts will be sent from no-reply@bpms.svc.ubc.ca or transcripts.students@ubc.ca.

Same-day PDF transcripts
You must place the order in person one hour before the Enrolment Services Advising Centre in Brock Hall closes, which is typically before 3:00 pm. You can expect to receive the PDF transcript through email by the end of the day.
Same-day PDF transcripts cost $17.12 CAD, including tax.

Unofficial transcripts
Unofficial transcripts are reports of a student’s academic record at UBC, and are intended for personal use only. UBC does not issue unofficial transcripts to third parties. Unofficial transcripts do not contain the UBC seal or the Registrar’s signature.
Unofficial transcripts are free and can be downloaded from the UBC Official Documents tool by current students, alumni, and former students who don’t have access to view past grades on Workday.

Paper transcripts
All paper transcripts cost $12.41 CAD, including tax. There are 3 ways you can receive your paper transcript:
- In-person pick-up at the Enrolment Services Advising Centre in Brock Hall
- Courier delivery

Delivery to a third party
If you are requesting your official transcripts to be sent to a third party, you must enter your own email address as the “Requestor Email” on the UBC Official Documents tool. Do not enter the third party’s email address in the Requestor Email section.
You can request your paper transcript to be delivered by Canada Post regular mail by placing an order in Workday. Learn how to order a paper transcript in Workday.
Orders take 3 to 5 business days to process, then additional time for delivery. Regular mail is delivered through Canada Post and there is no tracking number available. Please note that PO Box addresses are not accepted for courier orders.
You can pick up your paper transcript at the Enrolment Services Advising Centre in Brock Hall. Please check the Enrolment Services Advising Centre website for their opening hours or any seasonal hour changes.
Place your order online in Workday, or in person at the Enrolment Services Advising Centre in Brock Hall. You must pay by debit card, VISA, or Mastercard.

If you place your order before 6:00 pm, you can pick up your transcript on the next business day after 2:00 pm.
You must provide the following to pick up your transcript in person:
- Photo ID matching the name on the transcript
- Proof of name change, where applicable
If someone is picking up your transcripts on your behalf
You must order your own transcript yourself, even if you authorize someone else to pick it up for you. The person picking up your document must provide the following:
- A completed Third-Party Pick-up Form (pdf)
- The required identification noted in the pick-up form instructions for both you and the person you authorized to pick up your transcript
Alternatively, if the person picking up your document is authorized on your Workday account, they must have your student number and authorization code in addition to their ID.

You can request a paper transcript to be delivered by courier via FedEx. Couriers cannot deliver to PO boxes. Delivery times depend on your location. Learn how to place an order in Workday.
You will be able to see your tracking number on your order summary one business day after your request has been placed. Please allow for additional processing time by courier.
