Ordering a diploma

About your diploma

You will receive your diploma at your in-person graduation ceremony. If you do not attend your ceremony, you can request to pick up your diploma afterwards at the Enrolment Services Advising Centre on the first floor of Brock Hall, or have it sent by courier. If you'd like it couriered, contact graduation@ubc.ca to enable courier payment in your Student Service Centre (SSC). Please include your full name and student number in the email. After you received an email confirmation that your courier has been enabled, please order your original diploma for courier in your Student Service Centre (SSC).

The information on this page is for students who have already graduated and need a replacement or certified copy of their diploma. If you’re a UBC Okanagan student, please read information specific to your campus.

Replacement diplomas

A replacement diploma is an official reprint of your original UBC diploma. It will look almost exactly like an original diploma, with a notation that says “Replacement Diploma month/year” in small print along the front and bottom.

Rush orders are not available during May and November due to graduation, and in December over the holiday break.

Ordering online

  1. Log into your Student Service Centre (SSC) and select "Order Replacement Diploma/Certified Copy" under Grades & Records.
  2. Select your order preferences.
  3. Pay with VISA or MasterCard.
  4. Follow the instructions for pickup and delivery options.

Ordering in person

  1. Order your replacement in person at Enrolment Services Advising Centre in Brock Hall.
  2. Pay by debit card, VISA, or MasterCard.
  3. Follow the instructions for pickup and delivery options.

Certified copies of your diploma

You may need a copy of your diploma instead of a replacement or the original diploma itself. A certified copy is a photocopy of the original or replacement diploma with a stamp to certify that it is a true copy of the original document.

Your original diploma is required to produce a certified copy. If you do not have your original diploma, you must order a replacement diploma to request a certified copy. A replacement diploma takes 2 to 4 weeks to process.

For same-day orders, you must place the order in person at the Enrolment Services Advising Centre in Brock Hall before it closes. You'll receive your certified copy and original diploma returned immediately.

Ordering online

If you choose to order a certified copy online, you’ll need to order and pay for a replacement diploma as well. This will increase the processing time by 2 to 4 weeks.

Log into your Student Service Centre (SSC) and select “Order Replacement Diploma/Certified Copy” under Grades & Records. Refer to the instructions and processing times above for online replacement diploma orders.

Ordering in person

Bring your original diploma to the Enrolment Services Advising Centre in Brock Hall. For regular orders, you can return and pick up your order once it is ready, or have the certified copy and original diploma mailed to you. You must present a photo ID when picking up your order and pay by debit card, VISA, or MasterCard.

Pick up and delivery options

Courier delivery

If you choose courier delivery, replacement diplomas or certified copies will be sent via FedEx as soon as they are processed. Couriers cannot deliver to PO boxes. You will receive a tracking number once your document has been sent.

Picking up in person

You’ll receive an email when your document is ready for pick up at the Enrolment Services Advising Centre in Brock Hall.

You must bring the following:

  • A piece of photo ID with a name matching the name on the diploma for pick-up.
  • Proof of your name change if you’ve requested a name change on your diploma.

If someone is picking up your documents for you

You must order your replacement diploma or certified copy yourself, even if you authorize a third party to pick it up. The person picking up your document must provide the following:

  • A completed Third-Party Pick-up Form (pdf).
  • The required identification noted in the pick-up form instructions, for both the third party and the document owner.

Alternatively, if you are authorized on the student’s Student Service Centre (SSC), you must have their student number and authorization code in addition to your ID.
