Ordering a diploma

If you've already graduated and need a replacement or certified copy of your diploma, you can order one online.

Diploma Services during COVID-19

Due to COVID-19, all diploma services will experience a delayed turnaround time.

If you require a Program Completion Letter: Download it from “Grades & Records” in your Student Service Centre (SSC).

Ordering a replacement diploma

A replacement diploma is an official reprint of your original UBC diploma. It will look almost exactly like an original diploma, with a notation that says “Replacement Diploma month/year” in small print along the front and bottom.

Standard order

  • Processing time: 2-4 weeks, plus delivery time
  • Price: $68.69 (tax included) per diploma, plus courier cost 

Rush order

Rush order for replacement diplomas is currently not available.

When it reopens, the rush order details are as follows:

  • Processing time: 3-5 business days processing time, plus delivery time
  • Price: $137.60 (tax included) per diploma, plus courier cost.

Rush orders will not be available during May and November due to graduation, and in December over the holiday break.

Ordering online

  1. Log into your Student Service Centre (SSC) and select "Order Replacement Diploma/Certified Copy" from Grades & Records.
  2. Select your order preferences.
  3. Pay with VISA or MasterCard.
  4. See pickup and delivery options below.

Ordering in-person

  1. Order your replacement in person at Enrolment Services Advising Centre in Brock Hall.
  2. Pay by debit card, VISA, or MasterCard.
  3. See pickup and delivery options below.

If you've never picked up your original diploma

If you didn't attend your graduation ceremony, or have your diploma couriered to you, or you never picked up your original diploma, it may still be on file at our office. 

It can be picked up at Enrolment Services in Brock Hall, or you may pay to have it couriered to you. 

Contact graduation@ubc.ca to enable courier payment on your Student Service Centre. Please include your full name and student number in the email.

Ordering a certified copy of your diploma

You may need to use a copy of your diploma rather than a replacement or the original diploma itself. A certified copy is a photocopy of the original or replacement diploma. The copy is stamped to certify that it is a true copy of the original document.

Your original diploma is required to produce a certified copy. If the original is not provided, you will also be charged for a replacement diploma.

Regular orders

  • Processing time for in-person orders: 3-5 days for orders placed in person
  • Processing time for online orders: 2-4 weeks, if ordered online with a replacement diploma
  • Price: $7.28 (tax included) 

Ordering online

You can order a certified copy online through your Student Service Centre, but you’ll be required to order and pay for a replacement diploma as well. See the instructions and processing times above for online replacement diploma orders.

Ordering in person

Bring your original diploma to Enrolment Services in Brock Hall. For regular orders, you can come back to pick it up (photo ID required) or have the certified copy and original diploma mailed back to you. For same-day orders, you’ll get your certified copy and original diploma returned immediately.

You'll need to pay by debit card, VISA, or MasterCard.

Same-day orders

Online ordering is not available for same-day orders.

  • Processing time: 1-2 hours processing time for orders in person 
  • Price: $14.77, including tax

Pick up and delivery

Courier

Replacement diplomas or certified copies will be couriered via FedEx as soon as they are processed. Couriers cannot deliver to PO boxes. You will receive a tracking number once your document has been sent.

Picking up diplomas and certified copies

We’ll notify you when your document is ready for pick up from the Enrolment Services Advising Centre in Brock Hall.

  • Bring a piece of photo ID with a name matching the name on the diploma for pick up
  • If you’ve requested a name change, please provide proof of the change

If someone is picking up your documents on your behalf

You must order your replacement diploma or certified copy yourself, even if you authorize a third party to pick it up. The person picking up your document must provide the following:

  • A completed Third-Party Pick-up Form  
  • The required identification noted in the pick-up form instructions, for both the third party and the document owner.
  • Alternatively, if you are authorized on the student’s SISC, you must have their student number and authorization code in addition to your ID.
