Ordering a transcript

About transcript orders

If you are a current UBC student or alumnus, you can request an official transcript, which includes your complete academic record at UBC.

Transcripts are confidential and can only be released by request from a student or alumnus.

You can order your transcript in one of the following formats:

You can download the following documents directly through your Student Services Centre (SSC):

  • Proof of Enrolment
    Find a digital copy in “Proof of Enrolment Letters” under Grades and Records.
  • A copy of your unofficial grades
    View and print the list of your grades from “Your Grades Summary” under Grades and Records.

Before you order

Review important information about your transcript before placing an order:

  • Log into your Student Service Centre (SSC) and check that your grades are available in your "Grades Summary" under Grades and Records. You will need a Campus-wide Login (CWL) account to access the SSC. If you cannot remember your login details or do not have an active Campus-wide Login account, follow instructions online.
  • In addition to ensuring that your grades in your SSC account are up-to-date, also check your contact details and address under Personal Info.
  • All transcript orders are non-refundable and cancellations are not permitted.
  • The student or alumnus must order the transcript themselves.
  • If you are a student ordering for an application or other submission, make sure you are ordering the required or accepted format, as we offer both PDF or paper copy.
  • UBC is not responsible for delayed or lost mail.
  • Your degree will be conferred after the Senate meets, and it will appear on the official transcript on Fri, May 17, 2024.
  • Credit card payment information cannot be accepted over email due to credit card security policies.
  • Students on financial hold are not permitted to order transcripts. Please contact Enrolment Services about paying late overdue fees.
  • Forms that need to be enclosed with the transcript must be submitted with the transcript order. Right after you place your SSC order, email the forms along with your name and student number to transcripts.students@ubc.ca.
  • If you are ordering transcripts for an application, provide your reference or application number in the field, "Issued To:" on your SSC order. For example, write "Institution Name, Reference/Application #1234". Students are responsible for reviewing the application details and transcript requirements of the respective institution or organization website.
  • UBC is a World Education Services (WES) institution partner and uses a closed, secure channel to directly transmit documents to WES. If you are ordering transcripts for WES, write “World Education Services Ref#” and your WES reference number for the Institution/Name field. Please also select “Email” as the Delivery Type and write submit@wes.org for the Destination E-mail field. Read the WES document requirements for more information.

If you order your transcripts before classes start

Your transcript does not show your courses for the current academic session until the first day of classes. You must order your transcript on or after the first day of classes for your transcript to display the courses in your current academic session.

For example, if you have registered for Winter Term 1 or Term 2 but classes haven't started yet, your transcript will not display any course information for that session. You'll have to wait until Winter Term 1 classes start for the courses to appear on your transcript.

Ordering a PDF transcript

PDF transcripts cost $11.77 CAD including tax, and are sent through email. They can take 2 to 4 business days to process.

  1. Log into your Student Service Centre (SSC). 
  2. Select “Order Transcripts” under Grades and Records.
  3. Choose “Email” for Delivery Type.
  4. Submit the request and pay with VISA or MasterCard.

Ordering a paper transcript

All paper transcripts cost $11.77 CAD, including tax. There are 3 ways you can receive your paper transcript:

Delivery by mail

You can request your paper transcript to be delivered by Canada Post regular mail by placing an order through your Student Service Centre (SSC). They take 3 to 5 business days to process, then additional time for delivery.

  1. Log into your Student Service Centre (SSC). 
  2. Select “Order Transcripts” under Grades and Records.
  3. Choose “Mail” for Delivery Type.
  4. Submit the request and pay with VISA or MasterCard.

Pick up in person

You can pick up your paper transcript at the Enrolment Services Advising Centre in Brock Hall. Place your order online through your Student Service Centre (SSC), or in person at the Enrolment Services Advising Centre in Brock Hall. You must pay by debit card, VISA, or Mastercard.

If you place your order before 6 pm, you can pick up your transcript on the next business day after 2 pm.

You must provide the following to pick up your transcript in person:

  • Photo ID matching the name on the transcript
  • Proof of name change, where applicable

Alternatively, if you are authorized on the student’s Student Service Centre (SSC), you must have their student number and authorization code in addition to your ID.

If someone is picking up your transcripts on your behalf

You must order your own transcript yourself, even if you authorize someone else to pick it up for you. The person picking up your document must provide the following:

  • A completed Third-Party Pick-up Form (pdf)

  • The required identification noted in the pick-up form instructions for both you and the person you authorized to pick up your transcript

Delivery by courier

You can request a paper transcript to be delivered by courier via FedEx. Couriers cannot deliver to PO boxes. Delivery times depend on your location.

To place an order, log into your Student Services Centre (SSC) and choose "Courier" as your Delivery Type. Please allow for additional processing time by courier.
