About your parchment (diploma)

Your parchment refers to your diploma.

You will receive your parchment at your in-person graduation ceremony. If you do not attend your ceremony, you can request to pick up your parchment afterwards at the Enrolment Services Advising Centre on the first floor of Brock Hall, or have it sent by courier. If you'd like it couriered, contact graduation@ubc.ca and they can further assist you. Please include your full name and student number in the email.

The information on this page is for students who have already graduated and need a replacement or certified copy of their parchment. If you’re a UBC Okanagan student, please read information specific to your campus.

If you graduated in May 2024 or earlier and have not yet collected your parchment, please contact graduation@ubc.ca to arrange for courier delivery, or collect it in person at the Enrolment Services Office.

Replacement parchments (diplomas)

A replacement parchment is an official reprint of your original UBC parchment. It will look almost exactly like an original parchment, with a notation that says “Replacement Parchment month/year” in small print along the front and bottom.

Rush orders are not available during May and November due to graduation, and in December over the holiday break.

Certified copies of your parchment (diploma)

You may need a copy of your parchment instead of a replacement or the original parchment itself. A certified copy is a photocopy of the original or replacement parchment with a stamp to certify that it is a true copy of the original document.

Your original parchment is required to produce a certified copy. If you do not have your original parchment, you must order a replacement parchment to request a certified copy. A replacement parchment takes 2 to 4 weeks to process.

For same-day orders, you must place the order in person at the Enrolment Services Advising Centre in Brock Hall before it closes. You'll receive your certified copy and original parchment returned immediately.

Ordering online

If you choose to order a certified copy online, you’ll need to order and pay for a replacement parchment as well. This will increase the processing time by 2 to 4 weeks.

If you have graduated from UBC and don’t have access to Workday, you can use the new UBC Official Documents tool to order your parchment instead. 

Ordering in person

Bring your original parchment to the Enrolment Services Advising Centre in Brock Hall. For regular orders, you can return and pick up your order once it is ready, or have the certified copy and original parchment mailed to you. You must present a photo ID when picking up your order and pay by debit card, VISA, or MasterCard.

Pick up and delivery options

Courier delivery

If you choose courier delivery, replacement parchments or certified copies will be sent via FedEx as soon as they are processed. Couriers cannot deliver to PO boxes. You will receive a tracking number once your document has been sent.

Picking up in person

You’ll receive an email when your document is ready for pick up at the Enrolment Services Advising Centre in Brock Hall.

You must bring the following:

  • A piece of photo ID with a name matching the name on the parchment for pick-up.
  • Proof of your name change if you’ve requested a name change on your parchment.

If someone is picking up your documents for you

You must order your replacement parchment or certified copy yourself, even if you authorize a third party to pick it up. The person picking up your document must provide the following:

  • A completed Third-Party Pick-up Form (pdf).
  • The required identification noted in the pick-up form instructions, for both the third party and the document owner.

Alternatively, if the person picking up your document is authorized on your Workday account, they must have your student number and authorization code in addition to their identification. Learn about third-party authorization.
