While you can still place orders for paper transcripts on the UBC Official Documents tool, they will not start to be processed until Thurs, Jan 2.
Orders for PDF transcripts will continue to be processed throughout the closure period.
About transcript orders
If you are a current UBC student or alumnus, you can request an official transcript, which includes your complete academic record at UBC. Transcripts are confidential and can only be released by request from a student or alumnus.
To place an order, you’ll access the UBC Official Documents Tool from within Workday. If you don’t have a Workday account, you can log in to the UBC Official Documents tool directly.
You can order your transcript in one of the following formats:
- PDF transcript, sent through email
- Paper copy, available through:
- In-person pick-up on campus
- Courier delivery

Before you order
Review important information about your transcript before placing an order:
- Log into Workday and check that your grades are available in your “Academic History.” Learn how to view your grades.
- You will need a Campus-wide Login (CWL) account to access Workday. If you cannot remember your login details, follow instructions online to troubleshoot your access.
- In addition to ensuring that your grades in your Workday account are up-to-date, also check your contact details and address under Personal Info.
- All transcript orders are non-refundable and cancellations are not permitted.
- The student or alumnus must order the transcript themselves.
- Your degree will be conferred after the Senate meets, and it will appear on the official transcript on Wed, Nov 27, 2024.
- If you are a student ordering for an application or other submission, make sure you are ordering the required or accepted format, as we offer both PDF or paper copy.
- UBC is not responsible for delayed or lost mail.
- Credit card payment information cannot be accepted over email due to credit card security policies.
- Students on financial hold are not permitted to order transcripts. Please contact Enrolment Services about paying late overdue fees.
- Forms that need to be enclosed with the transcript must be submitted with the transcript order. Right after you place your Workday order, email the additional forms, such as completion letters, along with your name, order number, and student number to transcripts.students@ubc.ca.
- If you are ordering transcripts for an application, provide your reference or application number in the address field on your transcript order in the UBC Official Documents Tool. For example, write “Institution Name, Reference/Application #1234”. Students are responsible for reviewing the application details and transcript requirements of the respective institution or organization website.
- UBC is a World Education Services (WES) institution partner and uses a closed, secure channel to directly transmit documents to WES. If you are ordering transcripts for WES, write “World Education Services Ref#” and your WES reference number for the Institution/Name field. The official email for WES is submit@wes.org. Once you’ve placed the order, please email transcripts.students@ubc.ca with your order ID and reference number, and your transcript will be uploaded to the WES student portal. Read the WES document requirements for more information.
- If you are requesting your official transcripts to be sent to a third party, you must enter your own email address as the “Requestor Email” on the UBC Official Documents page. Do not enter the third party’s email address in the Requestor Email section.
- It takes 24 hours for official transcripts to be updated with the latest changes, such as grade changes or course adjustments (add/drops). Students are advised to request their transcript 24 hours after any record updates.
- Undergraduate students will be able to view their grades after the last day of exams. Term 1 grades will be visible on Dec 22, 2024, and Term 2 grades will be visible on Apr 28, 2025. Students are encouraged to order their official transcript 24 hours after their grades become visible on their Workday Profile.
If you order your transcripts before classes start
Your transcript does not show your courses for the current academic session until the first day of classes. You must order your transcript on or after the first day of classes for your transcript to display the courses in your current academic session.
For example, if you have registered for Winter Term 1 or Term 2 but classes haven’t started yet, your transcript will not display any course information for that session. You’ll have to wait until Winter Term 1 classes start for the courses to appear on your transcript.
Ordering a PDF transcript
PDF transcripts cost $11.20 CAD, and are sent through email. They can take 24 hours to process. PDF Transcripts will be sent from no-reply@bpms.svc.ubc.ca or transcripts.students@ubc.ca.

Same-day PDF transcripts
You must place the order in person 1 hour before the Enrolment Services Advising Centre in Brock Hall closes, which is typically before 3pm. You can expect to receive the PDF transcript through email by the end of the day.
Same-day PDF transcript costs $16.48 CAD, including tax.

Ordering a paper transcript
All paper transcripts cost $11.98 CAD, including tax. There are 3 ways you can receive your paper transcript:
- In-person pick-up at the Enrolment Services Advising Centre in Brock Hall
- Courier delivery
Learn how to order a paper transcript in Workday. If you studied at UBC and don’t have access to Workday, you can use the new UBC Official Documents tool to order your transcript instead. If you are logging into the UBC Official Documents tool (ODMT) for the first time, you might have to wait 30 minutes for your information to sync.
You can request your paper transcript to be delivered by Canada Post regular mail by placing an order in Workday. Learn how to order a paper transcript in Workday.
Orders take 3 to 5 business days to process, then additional time for delivery. Regular mail is delivered through Canada Post and there is no tracking number available. Please note that PO Box addresses are not accepted for courier orders.
You can pick up your paper transcript at the Enrolment Services Advising Centre in Brock Hall. Please check the Enrolment Services Advising Centre website for their opening hours or any seasonal hour changes.
Place your order online in Workday, or in person at the Enrolment Services Advising Centre in Brock Hall. You must pay by debit card, VISA, or Mastercard.

If you place your order before 6 pm, you can pick up your transcript on the next business day after 2 pm.
You must provide the following to pick up your transcript in person:
- Photo ID matching the name on the transcript
- Proof of name change, where applicable
If someone is picking up your transcripts on your behalf
You must order your own transcript yourself, even if you authorize someone else to pick it up for you. The person picking up your document must provide the following:
- A completed Third-Party Pick-up Form (pdf)
- The required identification noted in the pick-up form instructions for both you and the person you authorized to pick up your transcript
Alternatively, if the person picking up your document is authorized on your Workday account, they must have your student number and authorization code in addition to their ID.

You can request a paper transcript to be delivered by courier via FedEx. Couriers cannot deliver to PO boxes. Delivery times depend on your location. Learn how to place an order in Workday.
You will be able to see your tracking number on your order summary one business day after your request has been placed. Please allow for additional processing time by courier.
